1. Who may use HouseMom HQ

HouseMom HQ is a tool for chapter house directors, house corporation officers, and other authorized chapter representatives. You must be at least 18 years old and authorized to act on behalf of your chapter or housing organization to create an account and enter data.

2. Your account

You are responsible for the activity under your account and for keeping your login credentials secure. Authentication is handled by our identity provider; you agree to their terms as part of signing in. Notify us promptly of any unauthorized use.

3. Chapter and resident information

You may enter information about your chapter and its residents, including names, room assignments, contact details, emergency contacts, profile photos, and emergency medical information submitted by residents. By entering or collecting this information, you represent that you have the authority and any necessary permission to do so, and that you will handle it in accordance with your organization’s policies and applicable law. You remain responsible for the accuracy of the information in your account.

4. Subscriptions, billing, and cancellation

• Plans. Paid plans are billed per chapter at $99 per month, or $497 per year when billed annually. Pricing and included features may change; we will give notice of material changes before they take effect for your next term.
• Renewal. Subscriptions renew automatically at the end of each term unless canceled before the renewal date. Annual plans are intended to align with the academic year.
• Cancellation. You may cancel at any time; your plan stays active through the end of the paid term and does not renew after that.
• Refunds. Except where required by law, payments are non-refundable, including for partial terms.
• Taxes and processing. Prices exclude applicable taxes. Payments are processed by a third-party payment processor; we do not store full payment-card numbers.

During any pilot or free period we designate, fees may be waived; those terms will be stated to you directly.

5. Acceptable use

You agree not to:

• use the service in violation of any law or third-party rights;
• upload content you have no right to share, or that is unlawful, harmful, or infringing;
• attempt to access data belonging to another chapter or to probe, scan, or breach security controls; or
• resell, sublicense, or misrepresent the service as your own.

6. Intellectual property

HouseMom HQ, including its software, design, and content we provide, belongs to Zaza Online LLC. We grant you a limited, non-exclusive, non-transferable right to use the service during your subscription. You retain ownership of the information you enter; you grant us the rights needed to host and operate the service for you.

7. Third-party services

The service relies on third-party providers for authentication, database and file storage, hosting, and payment processing. Your use of the service is also subject to their terms, and we are not responsible for their acts or omissions.

8. Not an emergency or medical service

HouseMom HQ is a record-keeping and organization tool. It is not a medical device, medical provider, or emergency service, and it must not be relied on in an emergency. In a medical or safety emergency, call 911 (or your local emergency number) and follow your chapter’s and institution’s emergency procedures. Emergency medical forms stored in the service are for reference and record-keeping only.

9. Disclaimers

The service is provided “as is” and “as available,” without warranties of any kind, whether express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that data will always be available.

10. Limitation of liability

To the fullest extent permitted by law, Zaza Online LLC will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits or data. Our total liability for any claim relating to the service will not exceed the amount you paid us for the service in the twelve months before the claim.

11. Indemnification

You agree to indemnify and hold harmless Zaza Online LLC from claims arising out of the information you enter, your use of the service, or your breach of these Terms.

12. Termination

You may stop using the service at any time. We may suspend or terminate access if you materially breach these Terms or use the service in a way that risks harm to others or to the service. On termination, your right to use the service ends; we will make your data available for export or deletion for a reasonable period, then may delete it.

13. Governing law

These Terms are governed by the laws of the State of [state of Zaza Online LLC’s formation], without regard to conflict-of-laws rules. The state and federal courts located there will have exclusive jurisdiction over disputes, except where applicable law provides otherwise.

14. Changes to these Terms

We may update these Terms from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, notify you. Continued use of the service after changes take effect means you accept the updated Terms.
